Managing seats on your plan

Seats determine how many members can generate in your workspace. Each Editor and Admin role uses one seat, while Viewers don't use a seat. Seats only apply to the Team and Enterprise plans — individual plans (Free, Standard, Pro and Max) don't have them. This article covers how seats work on the Team plan and on Enterprise plans that include them.


 

Seats on the Team Plan

The Team plan is billed per seat. Admins and Editors use paid seats, and Viewers are free. Inviting a member adds a seat to your plan if you don't have one open. Removing a member frees their seat up for someone else without changing your billing.

Adding a seat to your plan

Inviting someone when all of your seats are taken adds a new seat to your subscription. The seat's full 6,900 monthly credits go straight into your shared pool, and your renewal date stays the same.

What you pay depends on your billing cycle:

  • Monthly plans — the seat costs $69 whenever you add it. It comes with all of its credits, and anything your team doesn't use this month carries over to the next, so you get the seat's full value even if you add it late in your cycle
  • Yearly plans — you only pay for the time left until your renewal, rounded up to the nearest month. The seat gets 6,900 credits each month and renews along with the rest of your subscription

Removing a seat from your plan

Removing a member doesn't remove their seat — the seat stays on your plan for you to reuse. If you no longer need the seat, you can remove it from your Workspace Settings:

  1. Remove the member using the seat, if you haven't already
  2. Navigate to your Workspace Settings
  3. Select Plans & Billing
  4. Select Manage seats
  5. Reduce your seat count and confirm

Removing a seat takes effect at the end of your billing period. After that, your monthly credit pool shrinks by 6,900 credits for each seat you removed. If that leaves more members than seats, the newest members become Viewers automatically. Team plans include a minimum of 2 seats.


 

Upgrading to an Enteprise plan 

Team gives a group of two to nine a shared workspace with pooled credits, and it's self-serve: you can upgrade anytime from your Plans & Billing page.

Enterprise is built for organizations bringing Runway into production across larger teams. It's the right fit when:

  • You're rolling Runway out across your organization and need more than nine seats. Enterprise has no seat cap.
  • Your security or IT requirements call for SSO and control over third party model access.
  • You need usage reporting to track adoption across teams.
  • Procurement calls for a contracted annual plan with enterprise terms.

Seats on Enterprise plans

On Enterprise plans, how seats work is set by your contract. Admins can check which structure your organization uses from the header of your Organization settings:

If the header shows Members, your organization has unlimited seats, and members in any role can be added at no additional cost.

How does billing work when adding new members?

For Enterprise organization with paid seats, you won't be charged again for seats you've already purchased. If you add members beyond your purchased seats, you'll be charged a prorated amount for the days remaining in your billing cycle. You'll see a reminder in the app when adding members:

Transferring seats between workspaces

If your organization uses paid seats and has multiple workspaces in an Organization space, you can move seats between them:

  1. In your organization settings, open the Workspaces tab
  2. Select the three dots (...) for the workspace you're transferring from and click Transfer Seats
  3. Specify the number of seats to transfer and the workspace to transfer them to

 

Frequently Asked Questions

How many seats can a Team plan have?

Team plans support 2 to 9 seats. Your seat count includes invites that haven't been accepted yet.

What happens to our credits when I remove a seat from my Team plan?

Starting from your next billing period, your pool is 6,900 credits smaller for each seat you removed, and up to one month of unused credits still rolls over.

How much does it cost to add a new seat mid-cycle on a Team plan?

The same as any seat: $69 on a monthly plan, or the prorated amount left on your yearly plan. If you add it close to your renewal, you'll see the seat renew shortly after — that's a separate charge for the next period, with its own 6,900 credits. Since up to a month of unused credits roll over, you still get the full value of your larger credit pool.

I'm out of seats on my Enterprise plan but need someone new to have access. What are my options?

You have two options, depending on what is best for your needs:

  • Temporarily change an Editor to Viewer, then assign that open seat to the new member. This won't result in any asset loss and can be switched back at any time.
  • Add the new member with the desired permissions. You'll be charged a prorated amount for the days remaining in your billing cycle.
