Letting people find and join your workspace

  • This feature is currently available to non-enterprise users on a Standard plan or higher.
  • This feature is rolling out gradually, so you may not see it in your workspace yet.

As a workspace admin, you can let people who sign up for Runway with your company's email domain find your workspace and request to join it, so you don't have to invite each person by hand. This article covers turning that on and approving the requests that come in.


 

Letting colleagues find a new workspace

Discoverability is on by default when you create a workspace with a business email. In the Create a new workspace dialog, the checkbox under the workspace name lets people with your email domain find the workspace. Leave it checked, or clear it to keep the workspace unlisted.

Letting colleagues find an existing workspace

Domain settings for an existing workspace are on the Members tab of Workspace Settings. You register your domain once, then turn on discoverability.

  1. Select your profile icon in the bottom-left corner
  2. Select Workspace Settings
  3. Select the Members tab
  4. Under Workspace invites & members, next to Team domain, select Register domain
  5. Select Verify with email
  6. Enter the code sent to your email
  7. Select Verify
  8. Turn on the discoverability toggle

New signups with your domain now see your workspace on their Join workspaces screen and can request to join. Turn the toggle off at any time to stop appearing there.

Approving requests to join

You're notified when someone requests to join.

Pending requests appear under Seat requests on the Members tab of Workspace Settings, where you approve or deny each one. 

Approving adds the person as an Editor. What that costs depends on your plan:

  • Team plan with an open seat — no additional charge
  • Team plan with every seat filled — you see the cost of one more seat and confirm Approve and add seat
  • Any other paid plan — Runway prompts you to upgrade to a Team plan

Until you approve, the person works in their own personal workspace, which stays private to them. See Workspace members & roles for what Editors can do.


 

FAQ

Common questions from admins setting this up for the first time.

Can people join automatically without my approval?

No. Every join is a request, and only a workspace admin can approve it. There's no auto-join setting.

Why am I being asked to upgrade when I approve a request?

A workspace with more than one member needs the Team plan. If your workspace is on another paid plan, approving a request prompts you to upgrade so the new member has a seat. See Managing your Workspace Subscription for how Team seats are billed.

Why didn't my colleague see the Join workspaces screen?

Check the email they signed up with. Discoverability only works for verified business addresses on your exact domain. Personal providers, school and disposable addresses, shared inboxes such as info@ and domains that use SSO are excluded. If they already have an account, they can find your workspace under Switch Workspace on the Available to join tab. See Switching between workspaces for how to open it.

Does approving a request give my team access to that person's existing work?

No. Their personal workspace, assets and generations stay private to them.
